Introduction
This Refund Policy explains the terms under which payments made to Internal Application ("we", "us", or "our") for a Custom-Built Application are handled, including our position on refunds and cancellations. Browsing the Directory is free of charge and is not covered by this policy.
By accepting a project proposal and completing payment for a Custom Build, you acknowledge that you have read, understood, and agreed to this Refund Policy in full. This policy forms part of and should be read alongside our Terms and Conditions (internalapplication.com/legal/terms).
All payments on Internal Application are processed by Dodo Payments (dodopayments.com), our payment processor and Merchant of Record. Dodo Payments manages the billing relationship and transaction processing on our behalf.
If you have questions about this policy, please contact us at hello@internalapplication.com before making a payment.
02
Project Fees Are Non-Refundable Once Development Begins
Custom Build project fees are one-time, fixed fees, payable in full before development work begins. Once we have received your payment and confirmed your project, we schedule and commence development.
Once development work has commenced, project fees are non-refundable, including but not limited to circumstances where:
- You no longer wish to proceed with the project after work has started
- Your business needs or priorities have changed
- You are dissatisfied with the pace of delivery where we are working within the timelines set out in your project proposal
- You fail to provide feedback, content, or information reasonably required from you to complete the project
- You decide not to launch or use the delivered application
We strongly encourage you to review your project scope and proposed fee carefully before making payment, and to raise any questions with us at hello@internalapplication.com before you pay.
03
Cancellation Before Development Begins
If you wish to cancel after payment but before we have begun development work on your project, contact us at hello@internalapplication.com as soon as possible.
We will review cancellation requests made before development has started on a case-by-case basis and may, at our sole discretion, issue a full or partial refund. We are not obligated to issue a refund once you have paid, even if development has not yet begun, but we aim to deal with genuine, timely cancellation requests fairly.
Once development work has begun on your project, Section 02 applies and no refund will be issued.
04
Scope Changes & Additional Fees
If you request changes beyond the scope agreed in your original project proposal, we will provide a change order describing the additional work and its fee before carrying it out.
Additional fees for an approved change order are payable in the same manner as your original project fee and, once work on the change order has begun, are non-refundable on the same basis as set out in Section 02.
You are not obligated to approve any change order. Declining a change order does not entitle you to a refund of your original project fee.
05
Project Delivery, Revisions & Acceptance
We will deliver your Custom Build in accordance with the scope agreed in your project proposal, including any revisions specified in that proposal.
Once we have delivered an application that matches the agreed scope, the project is considered complete, and no refund will be issued on the basis of a change of preference, changed requirements, or dissatisfaction that falls outside the originally agreed scope.
If we expressly offer a post-delivery bug-fix or support period in your project proposal, defects covered by that period will be addressed at no additional charge within the timeframe stated in your proposal. Requests outside the scope of that period, or made after it has ended, may be quoted as a new change order under Section 04.
06
Exceptional Circumstances
While our policy is that project fees are non-refundable once development begins, we acknowledge that there may be rare and exceptional circumstances beyond your control. We reserve the right — entirely at our discretion — to review individual cases that involve:
- A verified duplicate charge resulting from a technical error during payment processing
- An unauthorised transaction confirmed to have been made without your knowledge or consent
In such cases, please contact us at hello@internalapplication.com with the subject line "Billing Issue" within 7 days of the charge, and include your name, the date and amount of the transaction, and a brief description of the issue.
We will liaise with Dodo Payments as necessary to investigate and, where a clear error is confirmed, work towards an appropriate resolution. Submitting a request does not guarantee a refund or credit. All decisions remain at the sole discretion of Internal Application and Dodo Payments.
Dissatisfaction with the service or a change of mind after development has begun do not constitute exceptional circumstances and will not be considered under this section.
07
Chargebacks
We take chargeback requests seriously. If you initiate a chargeback or payment dispute with your bank or card provider without first contacting us to resolve the issue, we reserve the right to:
- Immediately pause or terminate your Custom Build project
- Dispute the chargeback with supporting documentation
- Decline future Custom Build requests from you
We strongly encourage you to contact us at hello@internalapplication.com before initiating any chargeback. In most cases, we can investigate and address billing concerns far more quickly than a formal bank dispute process.
Fraudulent chargebacks — where you seek a refund through your bank for a legitimate charge you agreed to — may be pursued through appropriate legal channels.
08
Dodo Payments as Merchant of Record
Internal Application uses Dodo Payments (dodopayments.com) as its Merchant of Record. This means that when you pay a Custom Build project fee, your transaction is legally processed by Dodo Payments, not directly by Internal Application. Dodo Payments appears on your bank or card statement as the merchant.
As Merchant of Record, Dodo Payments is independently responsible for processing and securing your payment, managing tax collection and remittance based on your jurisdiction, and issuing your payment receipt or invoice.
Because Dodo Payments is the Merchant of Record, some billing disputes may be subject to Dodo Payments' own terms in addition to this policy. You can review Dodo Payments' policies at dodopayments.com/legal or contact their support team directly for transaction-specific enquiries.
This arrangement does not change the fact that Internal Application's own refund policy — as described in this document — applies to your project fee.
09
Changes to This Policy
We reserve the right to update or modify this Refund Policy at any time. Changes will take effect immediately upon being posted to this page, with the "Effective Date" updated accordingly.
If you have an active Custom Build project at the time of a material change, we will communicate the change to you via email where reasonably practicable. Your continued use of the Platform after any change constitutes your acceptance of the revised policy.
The most current version of this Refund Policy will always be available at internalapplication.com/legal/refund.
For any questions regarding this policy, please contact us at hello@internalapplication.com before making a payment.
